Administrative Production Coordinator

Inspired Image Picture Company (IIPC) are specialists in broadcast and cinematic production with the provision for full production services. With one of the country’s largest rental inventories and access to the most talented crew, IIPC has the expertise to design and assemble the finest packages for a variety of industry needs. To continue offering our ongoing high level of service to our clients we are seeking a dedicated Administrative Production Coordinator.

Job Location: Vancouver, British Columbia

Position Summary

  • To assist with general clerical duties, including but not limited to the following: answering phones, distributing messages, making sure paperwork is completed and filed appropriately, coordinating meetings and conference calls.

Roles and Responsibilities

  • Setting up new customers and clients: making sure insurance is valid and rental paperwork is up to date
  • Responsible for scheduling equipment and crew via in-house booking software
  • Hiring crew on a project by project basis
  • Preparing, updating and distributing crew lists, call sheets etc.
  • Creating and updating shared internal folders with pertinent information
  • Coordinate logistics and production information with venues, crew, vendors, etc
  • Scheduling and coordinating the communications, and day-to-day workings of the rental and production services operation.
  • Organizing the use of courier and shipping companies; coordinating the shipment of hard drives and/or equipment, as needed
  • Assist with Production Services in office and on location as required
  • Maintaining Media stock inventories.
  • Assist with Social Media, marketing and promotions as required
  • Undertaking special projects as assigned.
  • Attending industry events (possibly evenings and weekends) as required
  • Must be flexible with hours, willing to work overtime and weekends.

What You Bring

  • Must be computer adept and proficient in Microsoft Word, Excel and Google Drive.
  • Must demonstrate excellent written and verbal communication skills. Ability to think within the job requirements as well as outside the box.
  • Exceptional customer service skills, over the phone and in person, with customers and internal departments alike.
  • Must have strong multi-tasking and problem solving abilities, be a good team player and be able to work calmly under pressure and without constant supervision.
  • Strong attention to detail and excellent organizational and administrative skills.
  • Previous production coordination experience in TV, advertising or in general office management is an advantage.
  • A valid driver’s license is required.
